What are questions

Questions are what they sound like: questions you want to ask the supplier. Questions are fully customizable and come in many shapes and sizes to make it easy for you and the supplier to manage. Questions are answered either through human Answers or AI Answers. Answers to questions can be connected with the remaining functionality in Responsibly, including: i. Performance scoring: a question and its answer can be connected to preset scoring rules and directly impact the supplier’s performance score. ii. Risk management: since a question can be positively scored, it can also automatically mitigate inherent risk by representing mitigative actions taken by the supplier. iii. KPI-related features: questions can be used to collect the KPIs to a supplier. These collected KPIs automatically go into the overall KPI tendlines on the supplier, and can be used in KPI reporting, including deidcated features around scope 3.1 calculation and emission allocation.

iv. Document-related features: every file uploaded by the supplier automatically goes through our ‘file flow analysis’, which means extracting e.g., expiration dates from certificates, files from audits, or KPIs from annual reports.

v. Note: incidents can be managed via Tasks and corrective action engagement but not questions. Read more about that here. We advise users to ask the supplier as few questions as possible. i. See more guidance on how to reduce the supplier burden here.

Creating a question

To create a question go to Questions and click Create. Here you can write the question, select the question type (see below), map it to parameters, and create scoring rules for the question.

Asking a question

To ask a question to the supplier, put it on an engagement template. i. Read more about engagement templates here. To ask the question to the AI, go to Questions and click Ask AI in the top right corner. i. Read more about AI Answers here.
